Executive Board
- President -The PTA President is responsible for supervision of all PTA business and affairs. Duties include preparing meeting agendas, attending and facilitating all PTA meetings and back to school nights, attending all committee meetings, establishing and monitoring the budget along with the PTA Executive Board, and meeting with the principal on a regular basis to insure proper interaction between the PTA and the school for the benefit of our children
- 1st & 2nd Vice Presidents -The 1st and 2nd VPs are responsible to carry out the President’s responsibilities in his/her absence. In addition, each of the VPs is responsible for leading and supporting those Executive Board members listed under their respective positions in the CHES PTA Executive Board directory. The VPs will meet with the President at least once a month to communicate ongoing program progress, proposed plan changes and mutual concerns.
- Secretary - The PTA Secretary is responsible for attending all PTA Board meetings and ensuring the recording and distributing of meeting minuets including all votes, distributing meeting reminder notices and other PTA information as needed.
- Treasurer - The Treasurer is responsible for maintaining accurate accounting records, preparing monthly budgets for board meeting, depositing PTA funds in a timely manner, supplying record for accountant’s audits and mailing the PTA tax return.
Board
- After school Enrichment -This position is responsible for planning and implementing our after school enrichment programs throughout the school year. Duties include securing instructors for the programs, communicating information about the programs to CHES students/parents and securing volunteers to remain at school while the program is in session.
- Business Partnerships - This coordinator uses team members to carry out fundraising programs throughout the school year. The coordinator and team members will communicate the program to teachers, students and parents to encourage participation. Fund raising is through, but not limited to, General Mills Box Top$, Campbell’s Labels for Education, Tyson A+ Program, Kroger Plus cards, Food Lion MVP cards and a Barnes-N-Noble book fair (Dec).
- Bylaws - Responsibilities include the renewal and revision of local PTA unit bylaws every 5 years.
- County Council Representative - This representative attends the County Council meeting once a month and ensures our CHES PTA is informed of county events and activities. The County Council represents all PTA’s and PTSA’s in Chesterfield County.
- Courtyard Chair - This position is responsible for overseeing maintenance of the CHES courtyards. Duties include weeding, garden care and pond cleaning.
- Curriculum Enrichment - This position researches and schedules school assemblies, including but not limited to, Theatre IV, Mad Science, etc. It also communicates with Administration and teaching staff to determine appropriate in-class workshops to be funded at each grade level.
- Family Fitness Night - This position will work with the PE teacher to create a fitness extravaganza. Duties include securing health related vendors, exercise/fitness demonstrators, and prizes. This event is held in February or March for 3rd and 4th grades only.
- Family Night Out - This coordinator uses team members to carry out fundraising programs throughout the school year. Duties include coordinating dates for the upcoming school year with the owner/managers of each venue, communicating information to teachers, students and parents, managing the event at each location, and collecting the check from the owner/manager after every event.
- Fifth Grade Party - This position is responsible for organizing the end of the year 5th grade party. Duties include setting the date and location, communicating details to teachers, students and parents, and securing volunteers for the event.
- Holiday House
- Class Baskets - Time commitment Nov-Dec - This position is responsible for coordinating the creation of our Silent Auction Class Baskets. Duties include working with CHES teachers and room parents to collect items for themed baskets, purchasing necessary assembling materials, coordinating a ‘basket assembly’(an after school get- together to help room parents assemble their baskets) and ensuring that baskets are ready to display at our Holiday House event.
- Crafter’s Corner - Time commitment Nov-Dec - This position is responsible for organizing the Crafter’s Corner at the Holiday House. Duties include securing vendors, collecting monies from vendors, and setting up/taking down tables for this event.
- Elf Shop - Time commitment Nov-Dec - This position is responsible for organizing the Elf Shop at the Holiday House. Duties include ordering and inventorying merchandise, securing volunteers, setting up/taking down tables and merchandise, organizing and selling the merchandise.
- Santa Breakfast - Time commitment Nov-Dec - This position is responsible for organizing the Santa Breakfast. Duties include ordering the food, securing “Santa” and photographer, buying paper products and decorations, creating and distributing fliers, decorating the cafeteria, and selling tickets.
- Silent Auction - Time commitment Oct-Dec - This position is responsible for coordinating and running the Silent Auction at the Holiday House. Duties include securing donations, preparing and organizing paperwork (fliers, donation forms, bid sheets, display pieces etc…), scheduling volunteers to staff the auction, decorating, coordinating set-up/take down, collecting money and distributing all items to highest bidders, reconciling auction proceeds to ensure all items are accounted for and sending thank you notes to donors.
- Hospitality - This position is responsible for hosting the Back to School breakfast for teachers and staff, hosting the teacher Appreciation luncheon during Teacher Appreciation week, working with the room parent coordinator on teacher appreciation week, recognizing teachers and staff birthdays, decorating birthday bulletin board in cafeteria, providing refreshments for PTA sponsored events (when requested) and providing treats throughout the year for CHES staff.
- Kindergarten Lunch Coordinator - This coordinator is responsible for securing parent volunteers during the Kindergarten lunch period throughout the school year. They will also keep the volunteer lunch calendar current. Kindergarten lunch starts at 10:40 and the last class leaves at 11:25.
- Marquee - This position is responsible for keeping our CHES marquee up-to-date with PTA and school calendar events throughout the school year.
- Membership - This position oversees the recruiting of members thought the school year. Duties include keeping member records, distributing membership cards, and ensuring that CHES is in good standing with the County PTA. This position will also compile the PTA Student Directory and distribute it to our members.
- Newsletter/Publicity - This position is responsible for creating our monthly CHES Gazette. Duties include gathering and writing articles, publicizing upcoming PTA and school events, newsletter layout, making select copies, forwarding newsletter to PTA Webmaster and informing CHES teachers, students/parents that the newsletter is online and up to date.
- Programs - This position is responsible for overseeing the Back to School Social in September, the Fall Festival in October and International Night in March. They also provide Coffee Talks throughout the school year. Duties include securing a DJ and other fun activities (BtoSS), communicating with teachers regarding the pumpkin carving (Fall Fest) and securing food, entertainment and vendors (IN), and working with the school Guidance department to bring in speakers for the parents (CT).
- Recycling/Environmental Club - This position is responsible for the all things recyclable and the education/awareness of eco-friendly living.
- Reflections - Time commitment Aug-Mar - This position is responsible for implementing the National PTA Reflections Arts Program at CHES. Duties include communicating/publicizing program information to teachers, students and parents, securing judges, collecting student entries, sending winning entries to District level for further judging, and planning the Reflection reception for all participating students.
- Room Parent Coordinator - This position is responsible for coordinating our CHES Room Parent volunteers throughout the year. Duties include organizing an informational meeting providing general information, ensuring all room parents are aware of Teacher Appreciation Week and serving as the go-to person for question.
- School Beautification - This position is responsible for maintaining the flower beds around the marquee and any other flower bead around the school.
- School Board Representative - This position is responsible for gathering any pertinent information from School Board meetings that usually meet twice a month. This representative will report back to the CHES PTA about School board activities and updates. The representative reports the information, but will not present any CHES PTA information or viewpoints to the school board unless prior authorization is acquired from the CHES PTA board.
- Special Education - This position will provide mentorship, support and guidance to students and parents for all phases of the IEP process throughout the school year.
- Spirit Wear - This position oversees the selection, marketing, selling and distribution of CHES clothing and other spirit items.
- Volunteers in Education (VIE) - This coordinator is responsible for building a data pool of parent volunteers and securing those volunteers for school events throughout the school year.
- Ways & Means - This position oversees the fall and spring school fundraising activity. Duties include selection of fundraising company, distributing fundraising packets, collecting money, distributing items, and communicating with teachers, parents and the PTA board.
- Webmaster - This position maintains the PTA website with all PTA events and activities. The site is a tool to communicate PTA and CHES programs and information to teachers, parents and students throughout the school year.
- Yearbook - This position is responsible for all aspects of the CHES yearbook.
Duties include collecting money, obtaining/updating class rosters, taking/collecting photos throughout the school year, overseeing the design, selecting appropriate photos, developing the theme and handling distribution.
